Manage owner portal settings (VRTrust)

Brand your owner portal and choose what owners see on their dashboard, summary, reservations and calendar.

Who This Applies To: VRTrust team members who manage the owner portal for their team.

Overview

Owner portal settings control how the owner portal looks and what owners can see when they log in. The settings page shows a live preview of the owner portal with sample data next to your settings, so you can see the effect of each change before you save it.

This makes it easier to set up the portal with confidence, whether you're onboarding new owners, matching the portal to your brand, or deciding how much detail to share.

Open the owner portal settings

  1. From the Settings page, click Owner Portal under Features in the left-hand menu.

  2. Open a section (Branding, Dashboard, Statement Summary, or Reservations & Calendar) and adjust the settings. Each section header shows its current state at a glance.

  3. View changes in the preview on the right. Opening a section switches the preview to the matching owner portal page, and outlined areas update as you change a setting. Use the page switcher above the preview to check other pages.

  4. Click Save changes. Nothing is applied to your owners' portals until you save. The footer shows how many changes are unsaved; click Cancel to discard them.

Branding

Setting

What it does

Team logo

Click Upload to add your company logo (PNG or JPG, smaller than 5 MB). It appears at the top of the owner portal menu. Click the x on the logo to remove it.

Primary color

Pick a color theme for the owner portal, or choose Default to use no custom color. The selected color's name appears next to the Branding header.

Dashboard

The Dashboard toggle controls whether owners land on a dashboard when they log in. When it's off, owners land on their statements instead. The dashboard is off by default and is available to teams using the general ledger.

When you turn the dashboard on, VRTrust checks whether your statement templates have a Rents Revenue column tagged. If any don't, a message lists them so you can tag them first or turn the dashboard on anyway. Without the tag, owners won't see rent figures like ADR, RevPAR, and Future revenue.

When the dashboard is on, you can choose which cards owners see. All cards are on by default:

Card

What owners see

Net income

Their net income for the month.

Expenses

Their expenses for the month.

Stats

ADR, nights booked, check-ins, RevPAR and owner nights.

Monthly performance

Performance month over month.

Future revenue

Revenue from upcoming reservations.

Occupancy

Occupancy for their listings.

Reservations

A reservations card on the dashboard. This is separate from the Reservations & Calendar pages, which you control in their own section below.

Draft statement data

When on, the dashboard includes draft months with their draft amounts. When off, owners only see months that have a published statement. This is separate from the Statement Summary setting.

Statement Summary

Setting

What it does

Draft statement data

When on, the owner's Summary page includes amounts from draft statements. When off (shown as Published only), the summary only uses published statements. See Show draft statement data in owner summary reports.

Reservations & Calendar

The Reservations & Calendar toggle controls whether owners can see the Reservations and Calendar pages for their listings. When it's off, both pages are hidden and the settings below don't apply. They stay visible on the settings page but can't be changed.

Setting

What it does

Guest names

Show guest names on reservations.

Reservation totals

Show the financial total for each reservation. Previously called Totals & Payments.

When owners click a reservation on the calendar, they see the number of nights and the ADR (rent divided by nights, calculated the same way as the owner dashboard).

Cancelled reservations

Show cancelled bookings alongside active ones.

Calendar blocking

Let owners block dates on the calendar from their owner portal. Blocks sync to your property management system right away. Shows Not available if your PMS connection doesn't support owner calendar blocking. See Calendar blocking for owners.

Note: ADR appears only when the listing’s statement template has a Rents column, and it’s hidden if you hide reservation amounts from owners. A single stay’s ADR can differ from the dashboard’s monthly average.

Use your own domain

Want the owner portal, owner emails and statement PDFs to use your own domain and branding? See White Label Your Owner Portal (VRTrust), or click Contact support on the settings page and our team will help you get set up.

Important Considerations

  • The preview uses sample data, not your real owner data. To see the portal as a specific owner sees it, use Preview the owner portal. To check an owner's dashboard, open the owner and select the Metrics tab.

  • Nothing is saved until you click Save changes. If you leave the page first, your changes are lost.

  • The preview is hidden on narrow screens. Widen your browser window to see it. The settings still work without it.

  • Your existing settings carry over. Owners won't see any difference until you change a setting and save.

  • Permissions: Team members who can't change team settings see each setting as Enabled or Disabled, without switches or a Save button.
