Who This Applies To: VRTrust teams using the general ledger who want to give owners a performance overview in the owner portal.
Overview
The owner dashboard is a home page in the web owner portal that shows owners how their properties are performing: net income, expenses, stays, occupancy, and revenue that's already booked, with comparisons to last year. When you turn it on, it replaces Statements as the page owners land on when they log in.
Owners often want quick answers between statements, like how this month is tracking or what's booked for the season ahead. The dashboard gives them those answers in one place, built from the same numbers as their owner statements, so they can check in on their own without waiting on your team.
The dashboard is off by default. You choose when to turn it on and which cards owners see.
What Owners See
Owners can view all of their properties together or pick a single listing, and use the month arrows to move between months.
Card | What it shows |
Net income | The owner's net income for the selected month. |
Expenses | The month's expenses, including any attachments owners are allowed to see. |
Stats | ADR, nights booked, check-ins, RevPAR, and owner nights, compared with the same period last year. |
Monthly performance | Rent revenue and net income month over month, with a prior-year comparison. |
Future revenue | Revenue already booked for the current month and upcoming months. Owners can compare it with last year in two ways: At this date (what was booked by this point last year, the default) or Final (last year's completed months). |
Occupancy | Occupancy for the owner's listings. |
Reservations | Reservations for the selected month. |
Owner stays are shown separately and aren't counted in occupancy or ADR, so they don't skew performance numbers.
Set Up the Owner Dashboard
Step 1: Tag your rent column on each statement template
The dashboard's rent figures (ADR, RevPAR, the Rent revenue chart, and Future revenue) come from the Net Revenue column you tag as Rents Revenue on your owner statement template. Tag it on every template your listings use.
From the template editor:
Open the owner statement template. See Statements overview for where to find templates.
In the Net Revenue table, click the Column settings icon on the column that holds rent.
Under Tags, turn on Rents Revenue.
Save the template.
From an owner statement: click the rent column's header, choose Use as Rents Revenue, and the tag is saved to that statement's template.
A template can have only one Rents Revenue column. If another column already has the tag, turning it on for a new column moves it. Only Total of accounts and Subtotal columns that are visible to owners can be tagged.
Step 2: Turn on the dashboard
Go to Settings and click Owner Portal under Features.
Open the Dashboard section and turn on Dashboard.
If any templates in use don't have a Rents Revenue column yet, a message lists them. Click Turn on anyway to continue, or Cancel to tag them first.
Choose which cards owners see. All cards are on by default.
Turn Draft statement data on or off to choose whether owners see months that only have a draft statement.
Click Save changes.
Step 3: Preview an owner's dashboard
Go to Owners, open an owner, and select the Metrics tab. You'll see the dashboard exactly as that owner sees it, with the same cards, without impersonating them. If a template is missing its Rents Revenue tag, a Rent figures are hidden banner names the template and links to it.
Example
An owner with two condos logs in on October 10. They land on the dashboard, see September's net income from their published statement, and switch to Future revenue to find that November is already ahead of where it was at this point last year. Their weekend at one of the condos shows as an owner stay and doesn't lower the listing's occupancy or ADR.
Important Considerations
General ledger teams only. The dashboard is available to VRTrust teams using the general ledger.
Untagged templates hide rent figures. If a listing's template has no Rents Revenue column, owners don't see ADR, RevPAR, the Rent revenue chart, or the Future revenue card for that listing. They don't see an error, so check the Metrics tab after setup.
Draft months. When Draft statement data is off, owners only see months with a published statement, and the dashboard opens on the latest published month. An owner with no published statements yet sees a message that their first statement will appear once it's published. Future revenue still shows when its card is on.
Separate from other settings. The dashboard's Draft statement data setting is separate from the Statement Summary setting, and the Reservations card is separate from the Reservations & Calendar pages. You can turn each on or off independently.
Future revenue estimates. For months with a draft statement, Future revenue matches the statement's net revenue. Later months without a statement are estimates based on booked reservations.
Turning it off. If you turn the dashboard off, owners land on Statements again.
