Accounting Lock Warnings on Statements, Reservations, and Fees (VRTrust)

What the warnings on owner statements, reservations, and fees mean, how accounting locks affect them, and what to do next.

Who This Applies To: VRTrust teams using the general ledger who see a warning on an owner statement, reservation, or fee and want to know what it means.

Overview

When something changes in VRTrust (a fee is edited, a reservation syncs a new amount from your PMS, a mapping changes), VRTrust recalculates the affected journal entries in the background. Owner statements, reservations, and fees now show where that update stands, and when something is blocking it, they explain why in plain language.

Most of the time, the blocker is an accounting lock. Locks protect accounting history you've already finalized, such as a published owner statement or a period before your Books Closed date. When an update would change a locked period, VRTrust doesn't post it. The warning tells you that happened, so you can decide whether a correction is needed in an open period, instead of finding out at month-end.

What You'll See

Statements, reservations, and fees show one of these states:

  • Current. Everything is up to date. No warning shows.

  • Updating. VRTrust is recalculating. Figures refresh on their own when it finishes, with no need to reload the page.

  • Skipped because of an accounting lock. An update would have changed a locked period, so it wasn't posted there. This is informational: it doesn't mean the figures are wrong, and it doesn't block you from publishing a statement.

  • Could not be updated. The recalculation ran into a problem that isn't a lock. The figures shown may be out of date, and this one usually needs our help.

Find and Review a Warning

Owner statements

  1. Go to Statements → Owner Statements.

  2. Select the month and filter by Draft.

  3. Hover over the warning icon on a statement row to read the message.

Reservations

  1. Open the reservation.

  2. Review the message at the top of the reservation drawer. When an accounting lock is the cause, it shows what's blocking the update, such as the posting date that falls in a locked period, the published statement, or your Books Closed date. See Locked reservation details in VRTrust.

  3. If the update failed for another reason, click Retry to run it again.

Fees

  1. Go to Fees and open the fee that shows a warning.

  2. Click Review affected reservations to see only the reservations where the fee update was blocked, rather than every reservation that uses the fee.

What to Do Next

Example

You publish June owner statements, then in July you raise the cleaning fee on a listing and backdate it to June 1. A June 21 stay on that listing would get a higher cleaning fee, but June is on a published statement, so VRTrust skips that posting and the reservation shows a lock warning naming the June 21 posting date. You decide whether to leave June as published or record the difference as an adjustment in July.

Important Considerations

  • Locks are never removed automatically. VRTrust won't move postings or unpublish a statement to apply an update. You decide what to correct.

  • Lock warnings don't block publishing. A statement with an update skipped because of a lock can still be published.

  • Draft statements use current journal entries. Changes in open periods are always reflected in drafts.

  • Owners see the same states. Owners viewing statements in the owner portal can see when figures are updating. [TBD: confirm what owners see for lock and failed states]

FAQ

Does a lock warning mean my statement is wrong?
No. It means an update wasn't posted to a locked period. The statement still matches what was finalized.

Can I still publish a statement that shows a lock warning?
Yes. Lock warnings are informational and don't block publishing.

Do I need to refresh the page or run a manual refresh?
No. Figures update on their own once a recalculation finishes.

How do I fix an update that was blocked by a lock?
Record the correction as an adjustment dated in an open period, after your Books Closed date and outside any published statement.
