Who This Applies To:
Property managers and accounting partners who plan to change property management systems (PMS) around the same time they start using VRTrust.
The short answer
Yes. You can switch to a new PMS and move to VRTrust in the same window, so you only go through one transition.
Key consideration: VRTrust won't be fully configured on the day you switch your PMS. Your new PMS's reservation line types still need to be mapped to your chart of accounts after it connects, so expect a short gap before reservations from the new PMS post accurately to your books.
What to expect on your switch date
Reservations from your new PMS will sync into VRTrust, but they won't post to your books until their line types are mapped.
Until then, unmapped lines show an orange triangle and reservation financials may show $0.
Owner statements, reports and reconciliations for the switch period won't be accurate until mappings are finished.
Why mappings can't be finished ahead of time
Every PMS names and structures its reservation line items differently.
VRTrust uses reservation line mappings to decide which account each of those line items posts to. Those mappings are set up for each PMS connection, so mappings from your old PMS don't carry over. They have to be built from the line types your new PMS actually sends, and those line types only show up once real reservations start syncing from the new connection.
How it works
The steps depend on where you're starting from.
You're new to VRTrust
If you're moving to VRTrust from another accounting system (like QuickBooks or Xero) and changing PMS at the same time, plan your onboarding around your new PMS.
Tell your onboarding contact which PMS you're moving to and your planned go-live date.
Connect your new PMS to VRTrust. See Connect your PMS.
Once reservations start syncing, map each reservation line type to the right account. See Mapping reservation line types from your PMS.
Review a few reservations and a draft owner statement before you rely on the numbers.
VRTrust onboarding typically takes 4-6 weeks. Changing PMS at the same time can add time, because mapping can't start until the new PMS is live.
You're already on VRTrust or moving from the legacy VRPlatform product
If VRTrust is already connected to your current PMS, switching to a new PMS is a PMS migration, and it's run by VRPlatform support.
Connect your new PMS so both your old and new connections appear under Connections.
Contact support with your current PMS, your new PMS and the migration date you want to use as the cutover.
Support reviews a preview with you and runs the migration. Reservations before the cutover stay with your old PMS, and reservations from the cutover onward come from your new PMS.
Map your new PMS's reservation line types so reservations after the cutover post correctly.
If you're also moving from the legacy VRPlatform product to VRTrust, the move to VRTrust is done first, then the PMS migration. See Migrate Your PMS Connection in VRTrust for the full process.
Don't delete, archive or reconnect your old PMS to switch systems. Your history stays linked to your old connection, and reconnecting a PMS creates duplicate reservations. See Managing an Existing PMS Connection.
Tips for a smoother switch
Pick the first day of a month as your switch date. It keeps the cutover clean for owner statements and month-end close.
Avoid switching right before owner statements go out. Give yourself time to finish mappings and review the numbers first.
Hold off on publishing statements for the switch month until mappings are done and you've reviewed a draft.
Watch for orange triangles. Any reservation with an unmapped line won't post. See Reservation Financials show $0 or reservation isn't posting?
Loop in support early. Let us know your timeline as soon as you've chosen a new PMS so we can help you plan.
