Key Steps
1. Accessing Reservation Settings 0:03
Navigate to the Settings at the bottom of the menu.
Select Reservations to manage reservation line mappings.
2. Understanding Reservation Lines 0:14
Reservation lines originate from the PMS and represent revenue categories.
These categories must be mapped to general ledger accounts from your accounts list.
3. Reviewing PMS Line and Account Fields 0:24
The PMS line column displays the reservation line name and its source PMS.
The account fields show the corresponding account from your chart of accounts.
4. Mapping Revenue Accounts 0:35
Choose the appropriate account in the account fields to determine where reservation line revenue will be recorded.
5. Excluding Reservation Lines 0:53
To exclude a reservation line from the general ledger, select Excluded from the account drop-down list.
This is applicable for line types not typically used on customer invoices.
6. Setting Revenue Recognition Method 1:06
The Revenue Recognition field shows the selected method for the reservation line.
This can be set to recognize revenue on check-in, check-out, or pro-rata. (Booked-at is no longer available for new setups; teams that already use it keep it.)
7. Default Revenue Recognition Settings 1:22
By default, revenue from cancelled reservations is recognized on the cancellation date.
You can change these settings after publishing owner statements. Changes apply only to periods and reservations that aren't locked.
8. Ensuring All PMS Lines Are Assigned 1:36
Confirm that all PMS lines are assigned to an account to ensure accurate revenue recognition.
9. Regular Review of Mappings 1:47
Periodically revisit reservation line mappings as new lines populate your reservation invoices.
Cautionary Notes
Revenue recognition changes made after statements are published don't affect locked periods or reservations, so past owner statements stay as published.
Ensure all PMS lines are mapped to avoid discrepancies in revenue reporting.
Tips for Efficiency
Regularly schedule reviews of reservation line mappings to keep them updated.
Document any changes made to mappings for future reference.
