New Accounting Partner Onboarding Guide

Instructions and specs for accounting firms joining the VRTrust Partner Program

Welcome to the VRPlatform Accounting Partner Program!

This guide will walk you through the steps to set up your accounting partner console and begin running client accounts independently in VRTrust. Plan for roughly four to six weeks from account creation to your first live client, most of it set by your team's training pace and the complexity of your client's setup requirements.

Key milestones:

Step 1: Create Your Account

Set up your firm's partner account, add a payment method, invite users, and get added to our Accounting Partner Marketplace.

  1. Book an introductory call with our team at https://www.vrplatform.app/features/accounting-partners.

  2. Our team will create your account and send you an invitation to sign up.

  3. Enter your firm's legal name, primary contact, and billing details.

  4. Enable multi-factor authentication when prompted (this is required before you can access client data).

  5. Invite any additional team members who will work in VRTrust, and assign roles.

Done when: You and any teammates can log in to your accounting partner console, a payment method is on file, and MFA is enabled.

Step 2: Complete VRTrust Academy Training

The VRTrust Academy is the recommended training track for new partners. It covers the setup and logic that VRTrust is built on, so reconciliation and reporting processes make sense when you're in a live client.

  1. Open the VRTrust Academy.

  2. Work through the linked content included in each course.

  3. Have every teammate who will touch client accounts complete the training materials.

Done when: Your team has a working knowledge of how to set up VRTrust and standard month-end workflows.

Step 3: Connect an AI Assistant to VRTrust via MCP

The VRTrust MCP (Model Context Protocol) lets you and your team work with client accounts conversationally through an AI assistant like Claude — pulling statements, checking reconciliation status, or looking up a reservation without clicking through screens.

Why connect? Once connected, you can ask your AI assistant to look up data across all of your teams, product customizable reports, and even make changes to help you complete accounting tasks without clicking through screens (every change gets your approval first). The more clients your firm manages, the more time this saves.

  1. In Partner Settings → Integrations, generate your Partner API key.

  2. Add the VRPlatform MCP connector in your AI assistant: Connect an AI Assistant Using VRTrust MCP.

  3. Run a simple test request, such as "list my teams," to confirm your firm's client teams appear.

  4. Store the key on a trusted backend only — never in browser code, chat logs, or a client-facing tool. Treat it like a password.

Done when: A test query through your AI assistant returns your firm's teams correctly. If you're having trouble, contact [email protected].

Step 4: Onboard Your First Client

VRTrust pairs you with live support when onboarding your first client.

  1. When you're ready to onboard your first client, share the client's name and planned start date with our team, and we will invite you to a partner Slack channel. (This is where you can reach out to our team for assistance, book calls, and receive the latest updates and announcements.)

If your client is a current VRTrust user, let our team know so that we can add their existing team to your console.

If your client is new to VRTrust, follow the steps to set up their team.

2. Collect client information: legal entity details, properties/units, bank accounts, and existing chart of accounts if the client is migrating from another system.

3. Connect their Property Management System and follow the VRPilot Onboarding Guide to complete the initial setup steps.

4. If you need help at any point during this process, please reach out to our team through your dedicated partner Slack channel

5. Once the setup checklist is complete, schedule a call with our team to review the configuration, walk your team through reconciliation best practices, and review their first owner statements.

Done when: The client's first statement has been generated, reconciled, and reviewed, and all questions have been addressed.

Step 5: Manage Ongoing Tasks in VRTrust

Once a client is live, your day-to-day work moves into VRTrust.

Daily / weekly

  • Review sync status and resolve any connection or data exceptions.

  • Clear open reconciliation items and flagged transactions.

  • Respond to alerts surfaced in the Tasks queue.

Monthly

  • Generate and review owner statements.

  • Complete bank account reconciliation and close the period.

  • Issue payments and run reports

Where to work

  • Accounting Partner Console — manage your client team accounts, users, automations, and connections.

  • Statements — generation, review, and delivery.

  • Your AI assistant (via the MCP connection from Step 3) — automate scheduled workflows, review client accounts in bulk, and complete accounting tasks faster.

Escalation: For anything you can't resolve through the in-app help chat or the knowledge base, contact our team through your dedicated Slack channel. Include the client team name and the specific item in your message for the quickest response.
