Move a deposit between reservations using a zero deposit (VRTrust)

Reallocate an already-received guest payment from one reservation to another without touching your bank balance, using a $0 net "zero deposit."

Overview

Sometimes a guest's payment needs to move from one reservation to another — for example, a guest cancels one stay and rebooks a different one, or a payment was applied to the wrong reservation. In these cases no new money enters or leaves your trust bank account, so you don't want to record a new bank deposit or payout. Instead, record a zero deposit: a single manual deposit with a $0.00 net Deposit amount that contains two offsetting reservation lines — a negative line on the reservation the money is moving from, and a positive line of the same amount on the reservation it's moving to.

Because the deposit's total is $0.00, it does not affect Bank Reconciliation — you're simply reallocating funds you already hold between two guest sub-ledgers.

Steps

  1. From the lefthand menu, click Deposits to open the Deposits page.

  2. Click +Add deposit in the top-right corner.

  3. Date: enter the date you're making the correction.

  4. Bank/CC account: select the trust account the original payment actually cleared into. This deposit won't post any new activity to the bank ledger since the net amount is $0.

  5. Deposit amount: enter $0.00. The two reservation lines you add below must net to this total.

  6. Description: note what you're doing and why, for example: "Move deposit from RES-1234 (cancelled) to RES-5678 per guest rebooking."

  7. In the Reservations tab, click +Add reservation line twice to add two lines:

    • Line 1 — source reservation: select the reservation the payment currently sits on. Enter the Payment/Refund amount as a negative number equal to the amount you're moving out. Leave Merchant fee, Channel fee, and Reserves at $0 — you're moving the guest's funds, not creating a new fee event.

    • Line 2 — destination reservation: select the reservation the payment is moving to. Enter the same amount as a positive number in Payment/Refund. Leave fees and reserves at $0.

  8. Confirm the two lines' Totals net to the $0.00 deposit amount, then click Save.

Result

The source reservation's balance decreases by the moved amount and the destination reservation's balance increases by the same amount. No bank activity is recorded, and Bank Reconciliation is unaffected.
