Can I apply a payment to a reservation on a disabled (inactive) listing? (VRTrust)

Payments can't be applied to a reservation while its listing is disabled — the reservation is inactive too. Re-enable the listing to apply it to the reservation, or record it as a Non-reservation item on the manager (PM) party.

Short answer

No. A payment can't be applied to a reservation invoice while that reservation's listing is disabled. When a listing is deactivated in VRTrust, the reservations tied to it become inactive too, so they can't accept a reservation-linked payment. You have two clean options depending on whether you want the funds tracked against the reservation/guest or not.

Why this happens

Listing status drives reservation status. Deactivating (disabling) a listing makes its reservations inactive, which is why they no longer accept a payment applied to the reservation invoice. This is expected behavior, not an error.

Option 1 — Re-enable the listing, then apply the payment (keeps it tied to the reservation)

Use this when the reservation genuinely belongs in VRTrust and you want the payment recorded against the guest balance / reservation invoice.

  1. Re-enable the listing: Listings → Status → Disabled → select the listing → Update status → Enabled. (See How to enable and disable listings.)

  2. Its reservations become active again.

  3. Add or edit the deposit and apply the payment to the reservation as normal. (See Add a deposit.)

  4. If you only re-enabled it to record this payment, you can disable the listing again afterward. Note: a listing counts toward billing while it's enabled.

Option 2 — Record it as a Non-reservation item on the manager (PM) party (keeps the listing disabled)

Use this when you don't want to re-enable the listing. The cash still hit your trust account, so it needs to be recorded — just not against the inactive reservation.

  1. Open or create the deposit under Deposits.

  2. Set the payment line type to Non-reservation (instead of Reservation).

  3. Post it to the appropriate manager (PM) account — e.g., Transfers to/from PM — rather than Guest Balances.

  4. Save. This records the money against the manager party instead of the inactive reservation.

Which should I choose?

  • Option 1 if the guest balance / owner statement should reflect this reservation in VRTrust.

  • Option 2 if the listing is intentionally deactivated and the funds belong to the PM (or a property you don't track in VRTrust).
