Exclude reservations from accounting by archiving them

In VRTrust, you can exclude reservations from accounting by archiving them directly from reservation workflows. This provides a faster, safer way to remove reservation-related ledger impact.


When to Archive a Reservation

Archiving is useful when:

  • A reservation should not impact financials

  • Fees or commissions should be excluded from the ledger

  • You need to remove accounting impact without altering booking data

Archiving a reservation affects accounting only. It does not delete or cancel the reservation.

Standard accounting protections remain in place, including:

  • Lock constraints

  • Period restrictions

  • Other accounting safeguards

Archiving respects these rules to prevent unintended changes.


Archive a Reservation from Accounting

You can archive a reservation anywhere in VRTrust where the reservation drawer is open.

Steps

  1. Go to Reservations

  2. Click the reservation you want to exclude from accounting

  3. In the reservation drawer, click the ellipsis (⋯) in the upper-right corner

  4. Select Archive reservation

The reservation is immediately excluded from accounting.


Unarchive a Reservation

If needed, you can reverse this action:

  1. Open the archived reservation

  2. Click the ellipsis (⋯)

  3. Select Unarchive reservation

Accounting impact will be restored, subject to standard accounting rules and locks.


Bulk Archive or Unarchive Reservations

You can also archive or unarchive multiple reservations at once:

  • From the Reservations list, select multiple reservations

  • Use the bulk actions menu

  • Choose Archive or Unarchive

This is helpful when cleaning up groups of reservations efficiently.


What Happens When a Reservation Is Archived

When a reservation is archived:

  • Reservation-related accounting entries are excluded, including:

    • Reservation revenue

    • Fees and commissions

  • Deposits and expenses remain unchanged

  • ✅ The booking state stays intact

    • The reservation is not deleted or canceled

  • ✅ A clear Archived status indicator is shown

  • ✅ You can filter reservations by Archived status

This ensures clean accounting while preserving operational data.

  • Other accounting safeguards

Archiving respects these rules to prevent unintended changes.
