Reservation mappings control which PMS reservation line items flow into VRTrust statements and invoices.

The goal is simple:

Only include reservation lines that help the reservation total match the payout.

Why exclude reservation lines?

Some PMS line items:

  • Are informational

  • Are paid outside the payout

  • Represent internal PMS calculations

  • Don’t belong on the owner statement

Including them can cause:

  • Statement totals that don’t reconcile

  • Confusion for owners

  • Duplicate charges

When to include a line item

Include a line item if:

  • It affects what was actually paid/withheld in the payout, and

  • You want it represented on the owner statement or invoice

When to exclude a line item

Exclude a line item if:

  • It does not impact the payout you receive

  • It’s billed later (separately)

  • It’s internal PMS metadata

Example: Early check-in fee

If Hostaway shows an early check-in fee and you actually collect it (it’s paid by guest and included in payout), it should typically be included.

If it’s excluded incorrectly, the reservation may not match the payout and you’ll see errors downstream.

Troubleshooting checklist

  1. Open a reservation that looks “off”

  2. Compare VRTrust reservation totals to the payout/deposit

  3. Identify the PMS line item that is causing the mismatch

  4. Include/exclude accordingly
