Troubleshooting payment journal entry automations

If your payment journal entries generated by VRPlatform in QBO do no have a class in the entry, the line items in the journal entry that are supposed to go to the owner will not show in their owner statement. This will jump out at you when you are going through your month-end accounting tasks, and reviewing your transactions without classes. This is particularly troublesome when Airbnb resolutions and merchant fees are directed to the owner statement. This happens when the class is not assigned to the listing and the journal entry automation is running before you have completed configuring your listings and automations. VRPlatform will generate journal entries even if the class has not been assigned in your configurations. If your listing is missing a class assignment in VRPlatform's automation configurations, this will also impact your invoices as well as your ability to generate owner statements. The class designations are shared across all automations, so adding the class to your listing in one of your automations will resolve the issue. All affected automations for the listing will need to be run again to remedy the missing classes in VRP generated transactions.

To correct a journal entry with a missing class, perform the following steps:

  1. Navigate to your Mappings page in VRPlatform.

  2. Select Classes and scroll down to the Classes Mappings section to find your missing class, and assign the class to the listing. If the listing is already assigned a class skip to step 4.

  3. If you have not created a class in Quickbooks (QBO) for the listing, create the class in QBO, and then fetch your Quickbooks connection on the Connections page to bring in the new class created into VRPlatform for mapping. If the class is already in QBO, but not showing as an option, fetch your QBO connection and it will populate in VRPlatform.

  4. Go to your bank feed in QBO, and unmatch (undo) any journal entries in your Categorized transactions that are missing classes before you run your payment journal entries automation with the updated configurations. A journal entry will not update unless it has been unmatched to the deposit in your bank feed.

  5. Go to the Payment Journal Entries automation, select Settings, change the Post Mode to "Delete and Add," save the change in settings, and run the automation.

  6. Search for the amount of the deposit missing the class in the Amount search box, select the payout transaction, and run the automation. If there are multiple transactions, select a date range, and other relevant filters, and run the automation.

  7. Return to your "For Review" transactions in the bank feed in QBO, refresh your browser, and select the newly generated journal entry (recommended match) and ensure that the class is now populated in the entry.

  8. Match the journal entry to the deposit in your bank feed and regenerate any affected owner statements.

  9. Change your Post Mode in your payment journal entry automation settings back to Add Only, and save your settings.

  10. Run all affected automations again, so that the class will be assigned to all generated transactions.
