Issues with owner statement generation

There are a various reasons why an owner statement will not generate in VRPlatform. Owner statement automation configurations and owner statement template configurations must be complete and accurate and all previous month's statements must be in a finalized status in order for a new owner statement to generate for the current month.

An owner has not been assigned to a listing

An owner statement will not generate in VRPlatform if the listing is not assigned to an owner. The error "No owners on listing" will present when you try to generate the statement.

To assign an owner to a listing perform the following steps:

  1. Navigate to your Listings page in VRPlatform, find the listing and assign an owner(s) to the listing. If there is one owner, designate the owner as "Owner," not as "Spectator." If there are more than two owners, determine whether you should designate each owner as an "Owner" or as a "Viewer."

  2. Go to the Statements page and select "Generate statements."

  3. Search and select the listing and month and select "Run."

  4. Refresh your browser to see the new statement that has been generated.

A previous statement is not in a finalized status

All statements generated in a prior month must be in a finalized status (Published or Published & Billed) for the current month's statements to generate in VRPlatform. Sometimes, there is a statement that was generated mistakenly for a period a couple of months prior to the current period (or before your go-live date) which needs to be deleted. If the statement in a previous month is not finalized, you will see the error below:

To finalize a statement in a previous month, perform the following steps:

  1. Navigate to the Statements page in VRPlatform.

  2. Search the name of the listing in the dropdown menu, and search each previous month to see if a statement is in an unfinalized status.

  3. Select the statement in the previous month, review it's accuracy, and finalize the statement by selecting the statement and updating the status to "Published" (no bill created in QBO), or "Published & Billed" (bill created in QBO). If the statement was before go-live with VRPlatform, and should not be generated, you can delete it.

  4. Select whether to send and email notification to the owners, and change the status of the statement.

  5. Select "Generate statements," search the listing and the month for which you wish to generate an owner statement, and select "Run" (Steps 2& 3 above).

  6. Select the month under review and refresh your screen to see the owner statement in draft status that has been generated (step 4 above).

The Owner Statement Automation has been disabled for a listing or paused for all listings

Sometimes the owner statement automation will be paused for all listings or disabled for specific listings. This will not allow for an owner statement to be generated. You must check your settings on the Automations page and Listings page.

To check the settings for the Owner Statement Automation, perform the following steps:

  1. Navigate to the Automations page in VRPlatform

  2. Check the status of your Owner Statements Automation.

  3. If the automation is "disabled," select the automation, navigate to settings, and turn on the automation.

  4. Select "Run Automation," select the listing name and month, and run the automation.

  5. Select the month under review and refresh your screen to see the owner statement in draft status that has been generated.

To ensure that the automation has not been turned off for a specific listing, perform the following steps:

  1. Navigate to the Listings page and select the listing for which you would like to generate an owner statement.

  2. Review Automation Settings and ensure that the Owner Statements automation has not been disabled.

  3. If the toggle is turned off, turn it back on and save your settings.

  4. Navigate to your Statements page, select "Generate statements," select the property and the month, and select "Run" to generate your owner statement.

  5. Select the month under review and refresh your screen to see the owner statement in draft status that has been generated.
