Assigning locations to QuickBooks transactions

To ensure that all transactions are assigned a location in QuickBooks, a balance sheet by location must be run in QBO for the period under review. Any transactions in the “NOT SPECIFIED” column will need to be assigned a location.

Locations are assigned to all transactions in your books from your go-live date forward using VRPlatform. Locations must be enabled in your Quickbooks account settings and will be mapped in VRPlatform when you set up your various automations. Refer to the article “Expenses and Transfers – Locations Method” for guidance on assigning locations to expense and transfer transactions from your bank feed.

Review QuickBooks Transactions Without a Location

  1. Log in to QuickBooks and select “Reports” in the sidebar menu and select the report “Balance Sheet.”

  2. Select the report period for the month under review, display columns by locations, and run the report.

  3. Drill down into any amount in the “NOT SPECIFIED” column to see the transactions in a specific account for the month that do not have locations assigned.

  4. Select a transaction and assign a location to the transaction.

  5. For those amounts for which a location cannot be manually assigned, you will need to use "Reclassify Transactions" in Accountant Tools. This tool can only be accessed with accountant user access.

Note: If there are beginning balances present in various accounts, either there are transactions in previous months that were not assigned locations, or you have not completed your beginning balance location journal entry. This journal entry is made as of the last of the month before your go-live date. Transactions before your go-live date with VRPlatform should NOT be specified with a location.
