How to create a Spectator user in VRPlatform

Use the Spectator role to add a new user with view only access to owner data

The Spectator role is designed to provide users with the same level of visibility as an owner within VRPlatform, granting them access to view all relevant information. However, unlike owners, users assigned to the Spectator role are restricted from being added to owner statement splits.

In this guide, we will walk you through the step-by-step process of setting up this role, empowering you to manage user permissions efficiently and tailor access levels to meet your specific needs. Let's get started and ensure your team members have the perfect balance of access and restriction to optimize their workflow.

How to Add a New Spectator

  1. From the Owners screen, click on the Add New Owner/Spectator button

  2. In the window that appears, select the Spectator toggle.

  3. At a minimum, a name and email are required to add the spectator.

  4. If you wish to invite the spectator now, toggle the invite button on, otherwise click Add Spectator to create the new user.

Inviting a New Spectator to VRPlatform

If you invited the new spectator when adding them in the previous steps, then feel free to skip these steps.

  1. From the Owners screen, find the spectator you want to invite.

  2. Click the Send Invite or Resend Invite link next to the specator's name.

    NOTE: this link will only be displayed for owners not in the Active status.

  3. The user will recieve an email with a link they can use to access VRPlatform.

If a user does not receive the email, you can get the direct link from within VRP. Simply click on the user to open the details panel then hover over the 3 dots at the top and select Copy invitation URL. Provide the URL to the specatator so they can use it to login.
