Can I Backdate My Go-Live Date or Import Historical Data? (VRTrust)

How far back your VRTrust go-live date can go, how backdating affects statements and billing, and how to import past activity instead.

Who This Applies To: Property managers and accounting partners setting up VRTrust who want records to start before the current month.

Overview

Your go-live date is the point where VRTrust becomes your system of record. Most teams go live on the first day of the current or upcoming month, as covered in Go-Live Planning in VRTrust.

If you want earlier history in VRTrust, you have two options:

  1. Set a backdated go-live date

  2. Start on a recent month and bring in your earlier activity as historical data.

This article explains how each one works so you can choose the right fit before onboarding begins.

Your Two Options

Option

How it works

Use it when

Backdate your go-live date

Set your go-live date up to 12 months in the past. VRTrust becomes your system of record from that date, your subscription starts from that date, and each month from then on is reconciled and published in order.

You want fully reconciled books and published statements in VRTrust for those earlier months, and you have the time (or an accounting partner) to catch them up.

Start recent and import history

Go live on a recent month, such as October 1 or November 1, and upload your prior statements and activity as historical data through the API or MCP at no extra charge.

You want past records available in VRTrust but want to start publishing current statements right away.

How It Works

  • Up to 12 months back. You can set your go-live date up to 12 months in the past. Going back further isn't part of standard onboarding and, where it's available, carries an additional fee.

  • Your subscription starts on your go-live date. If you backdate your go-live date, your first invoice will reflect billing starting from that date.

  • Statements are published in order. Owner statements in VRTrust are chronological. If your go-live date is January 1, you can't publish current statements until every month from January onward has been reconciled and published

  • Historical imports are free. Historical statements and historical activity can be uploaded through the VRTrust API or MCP at no extra charge.

Our onboarding only includes support setting up one month in VRTrust. Reconciling earlier months or prior years isn't included. For that catch-up work, we recommend working with an accounting partner.

Example

A property manager signs up in November and wants their 2026 history in VRTrust. If they set their go-live date to January 1, their subscription starts January 1, and they need to reconcile and publish January through October before November statements can go out.

If they go live November 1 instead, they can import January through October owner statements and activity as historical data through the MCP, then publish their first VRTrust statements for November in early December as usual.

Important Considerations

  • Choose your path before onboarding starts. Once opening balances are recorded and statements are published, changing your go-live date means reclassifying journals around the new date. It's simplest to decide upfront.

  • Backdating means catch-up work. Every month between your go-live date and today needs to be reconciled and published before current statements can go out. Plan for the time this takes, or bring in an accounting partner.

  • Prior-year cleanup is separate. If your books need cleanup before you move to VRTrust, we recommend working with an accounting partner.

FAQ

How far back can I set my go-live date?

Up to 12 months. Going back further isn't part of standard onboarding and, where available, carries an additional fee.

If I backdate my go-live date, when does my subscription start?

On your go-live date. A January 1 go-live date means your subscription billing will be calculated from January 1, even if you sign up later in the year.

Will VRTrust reconcile my earlier months or prior years for me?

No. Our onboarding team helps you set up one month. For reconciling earlier periods, we recommend an accounting partner with VRTrust experience.

Is there a charge to import historical statements and activity?

No. Historical statements and activity can be uploaded through the API or MCP at no extra charge.

Can I publish this month's statements if earlier months aren't reconciled yet?

No. Statements are published in order, so every month from your go-live date forward needs to be reconciled and published first. If you want to publish current statements right away, start on a recent month and import earlier activity as historical data.
