Manage Cancelled Reservations in Bulk (VRTrust)

Apply cancellation fees to multiple cancelled reservations at once from Guest Balances or Reservations.

Cancelled reservations with money left on them need to be cleared to zero — either by refunding the guest or by recording a cancellation fee. If you have a batch of cancelled reservations that should all get the same cancellation fee treatment, you no longer have to open them one at a time: you can select several at once and apply the fee to all of them in a single action.


When to use this

Use the bulk flow when you have multiple cancelled reservations that should all receive the standard cancellation fee split between property manager and owner. If a specific reservation needs a refund instead, or a custom fee allocation, handle that one separately — see Cancellation fee adjustments for exceptions.


Where to find it

Bulk selection is available from two places:

  • The Guest Balances report, in the Cancelled card

  • The Reservations page, when viewing cancelled reservations

Selecting reservations

  1. From either entry point above,

  2. Use the checkboxes to select the reservations you want to apply a cancellation fee to.

  3. A common approach: select all cancelled reservations in the list, then deselect the one or two that need different handling (for example, one that should be refunded instead).

Note: Only reservations eligible for a cancellation fee adjustment (cancelled, with a non-zero balance) can be selected. If your selection includes an ineligible reservation, the bulk action button is disabled with a tooltip explaining why.

Applying the cancellation fee

  1. With your reservations selected, click Apply Cancellation Fees in the action bar.

  2. This opens the Add financial adjustment modal, pre-configured for a cancellation fee adjustment across all selected reservations.

  3. Review the amount, line type, and posting date, then save.

The fee is allocated between property manager and owner using your existing Cancellation Fee setup, the same way it works for a single reservation. If any selected reservation's cancellation date falls in a books-closed or otherwise locked period, you'll be prompted to enter a posting date manually for that one, just as you would outside the bulk flow.


After applying

Each selected reservation is adjusted to zero balance, with the cancellation fee revenue split between property manager and owner per your fee setup (and management commission applied on top, if your commission formula includes cancellation fee revenue).
