Troubleshooting: an unexpected transaction appeared on the Bank Reconciliation page (VRTrust)

If a transaction you don't recognize — sometimes with an old date — appears on the Bank Reconciliation page, here's how to check whether it belongs and how to exclude it if it doesn't.

Occasionally a transaction you don't recognize — sometimes carrying an old date — appears on the Bank Reconciliation page. This article explains why that can happen, how to confirm whether the transaction belongs, and how to exclude it if it doesn't.


Why this happens

The Bank Reconciliation page lists bank records pulled from your bank feed. If your bank is connected directly via Plaid, an interruption or re-sync of that connection can occasionally re-pull a bank record or pull a duplicate — which can make a transaction appear unexpectedly, sometimes with a date well in the past.

A bank record appearing is not automatically an error. The first step is always to confirm whether the transaction actually exists in your bank account.


Step 1: Confirm whether the transaction belongs

Before changing anything, check whether the transaction is real:

  • Look it up at your financial institution. Does a matching transaction actually exist in your bank account for that date and amount?

  • Check the Ending Bank Balance. On the Reconciliation tab, the Reconciliation Summary shows the Ending Bank Balance for the selected reconciliation period. It should match your bank's balance as of that date.

  • If the Ending Bank Balance in VRTrust matches your bank — and this transaction is part of it — the transaction likely belongs. Match it to a VRTrust transaction as normal.

  • If the Ending Bank Balance no longer matches your bank because of this transaction, it is likely erroneous — for example, a duplicate pulled in by a feed re-sync.


Step 2: If the transaction is legitimate — match it

If you have confirmed the transaction exists in your bank account, match it to a VRTrust transaction (a deposit or expense) so your records stay complete. See Bank reconciliation overview (VRTrust) and Bank reconciliation feature walkthrough (VRTrust).


Step 3: If the transaction is erroneous — exclude it

If you have confirmed the bank record does not exist in your bank account (for example, a duplicate caused by a feed interruption), exclude it from the bank feed:

  1. On the Bank Reconciliation page, open the Bank feed tab.

  2. Click the ellipsis (⋯) on the bank record you want to exclude.

  3. Click Exclude.

  4. Review the warning and click Yes, exclude.

Excluding removes the bank record from the bank feed and from reconciliation. To reverse it, filter Status to Excluded, click the ellipsis on the record, and choose Include.

⚠️ Only exclude a bank record once you have confirmed it is erroneous — that it does not exist at your financial institution. Excluding a valid bank record will throw off your Ending Bank Balance and prevent your account from reconciling.


Step 4: Verify the reconciliation still balances

After excluding the transaction, return to the Reconciliation tab and confirm:

  • The Ending Bank Balance matches your bank's balance for the period.

  • The Difference in the Reconciliation Summary is zero.

If the Difference is zero and the balances match, the reconciliation is correct.
