How to Set Up Cleaning Fees as Property Management Revenue

If cleaning fees collected from guests should be treated as property management revenue, you must create and apply a Cleaning Fee expense to the appropriate listings in VRTrust.

This setup reallocates cleaning fee revenue from the owner to the property manager and ensures it appears correctly on statements.

If cleaning fee revenue should be paid to the owner, you can skip this setup.

When This Setup Is Required

Use this setup when:

  • Cleaning fees are charged to guests, and

  • Cleaning fee revenue belongs to the property manager

Do not use this setup when:

  • Cleaning fee revenue should remain with the owner


1. Navigate to Cleaning Fees

  1. Go to Fees & Commissions

  2. Select Cleaning Fees

A pre-populated Cleaning Fee template is available by default.

2. Review and Configure the Cleaning Fee

Click into the Cleaning Fee to review its settings.

Basic Settings

  • Fee Name: Cleaning Fee

  • Rate: 100%

    • If cleaning fee revenue is shared with the owner, adjust this rate to the appropriate split

  • Booking Channels:

    • Select the channels where the cleaning fee applies

3. Configure Advanced Settings

In Advanced Settings, configure:

  • Revenue Recognition Method

    • Determines when cleaning fee revenue is recognized for the property manager

  • Reservation Scope

    • Apply to:

      • All reservations, or

      • Booked-only reservations

  • Tax Rate (if applicable)

4. Review Account Mapping

The Cleaning Fee uses the same account on both sides:

  • Revenue Account: Cleaning Fees

    • Appears as revenue on the Property Management Income Statement

  • Expense Account: Cleaning Fees

    • Expense Party: Owner

    • Appears as an expense on the Owner Statement

By default, cleaning fee revenue is treated as owner revenue.
This fee setup:

  • Expenses the cleaning fee to the owner

  • Records the same amount as property management revenue

  • Removes the income from the owner statement

  • Reallocates it to the property manager

5. Preview the Cleaning Fee

Use the Preview window to confirm the behavior.

Example:

  • Guest is charged a $67 cleaning fee

  • The $67 appears:

    • As an expense on the owner statement

    • As cleaning fee revenue on the property management income statement

This confirms the revenue has shifted correctly.

6. Save the Fee

Once settings are confirmed, save the Cleaning Fee.

7. Apply the Cleaning Fee to Listings

  1. Go to Fees & Commissions β†’ Listings

  2. Select the listings where cleaning fee revenue belongs to the property manager

  3. Click Add New

  4. Select Cleaning Fee

  5. Set Start Fee From to:

    • The first day of the month for your first VRTrust owner statements

  6. Click Submit to save


Summary

Setting up the Cleaning Fee allows you to:

  • Shift cleaning fee revenue from owners to the property manager

  • Show the fee as an owner expense

  • Record it as property management revenue

  • Keep owner and PM statements accurate

This setup is required whenever cleaning fees collected from guests are retained by the property management company.
