How to Use the Trial Balance Report for Month-End Reconciliation

As part of your month-end reconciliation process, the Trial Balance Report helps you confirm that your account balances align with your accounting configuration and that all journal entries are properly balanced.

This article explains how to run the Trial Balance Report in VRTrust, what to review, and how to troubleshoot issues.


What Is the Trial Balance Report?

The Trial Balance Report provides a summary view of your general ledger activity for a selected date range.

It acts as a pivot table of the General Ledger Detail Report and displays:

  • Account name (from your chart of accounts)

  • Starting balance

  • Ending balance

  • Total debits

  • Total credits

  • Account classification

This report is a key tool for validating that your books are balanced before closing the month.


1. Navigate to the Trial Balance Report

  1. Go to Reports

  2. Select Trial Balance

Choose the appropriate date range for the period you are reviewing.

2. Run the Trial Balance for the Correct Period

For month-end reconciliation:

  • Run the report for the entire month

  • Example:

    • If your VRTrust Go-Live date is December 1, run the Trial Balance for December 1–December 31

This ensures you are reviewing only activity recorded within VRTrust.

3. Confirm Journal Entries Are Balanced

To verify that all journal entries are balanced:

  • Check that:

    • Total Starting Balance = 0

    • Total Ending Balance = 0

This confirms that total debits equal total credits across all accounts.

4. Validate First-Month Starting Balances

In your first month using VRTrust, you should also confirm that:

  • All starting balances for accounts are zero

  • There are no general ledger entries dated before your VRTrust start date

This ensures that:

  • Opening balances were recorded correctly

  • No transactions exist outside your intended accounting period

5. Use Filters to Review Account Balances

At the top of the report, you can filter accounts by:

  • Date

  • Classification

  • Account type

  • Party (owner, vendor, property manager)

  • Zero-balance accounts (toggle to hide them)

These filters help you focus on specific areas of your chart of accounts during review.

6. Drill Into Account Activity

To review the journal entries behind an account balance:

  1. Click the arrow to the left of the account name

  2. View all journal entries contributing to:

    • Debit totals

    • Credit totals

This is useful for identifying unexpected activity or tracing discrepancies.

Step 7: Export the Trial Balance

To download the report:

  1. Click the Export icon

  2. Download the file as a CSV

⚠️ The exported file will reflect any filters applied at the time of export.

What to Do If Balances Are Not Zero

If:

  • Total starting balances are not zero, or

  • Total ending balances are not zero
